Compensation: Starting at $24.00 per hour (or based on experience)

Eau Claire Golf & Country Club is excited to announce the exceptional career opportunity of Office Manager. This is a full-time position for a highly organized, detail-oriented professional who thrives in a private club hospitality environment.

This position assists the General Manager, Leadership Team and Membership with member billing, accounts receivable, and general administrative support functions. Responsibilities include monthly member billing, account reconciliation, membership administration, reporting, and executive-level administrative support.

The ideal candidate takes pride in delivering exceptional internal and member-facing service, building positive relationships while maintaining efficiency and accuracy.


ACCOUNTING & MEMBER BILLING

- Prepare, review, and process monthly member statements
- Ensure accurate and timely posting of charges and credits
- Manage accounts receivable aging and assist with collections
- Process member payments (ACH, credit card, checks)
- Reconcile member accounts and resolve discrepancies
- Assist with month-end closing procedures
- Maintain organized billing documentation
- Prepare aging and billing reports
- Coordinate with department managers
- Support audits and financial reviews


MEMBERSHIP ADMINISTRATION

- Maintain organized membership records
- Set up and manage new member accounts
- Assist members with billing inquiries
- Process initiation fees and recurring payments


ADMINISTRATIVE & GM SUPPORT

- Provide administrative support to the General Manager
- Assist with scheduling and correspondence
- Prepare meeting materials and take minutes during Board Meetings
- Support special projects
- Serve as administrative point of contact


OFFICE MANAGEMENT

- Manage daily office operations

- Highly confidential financial and membership information
- Maintain office systems and supplies
- Distribute mail and correspondence

- Cross-department support


WORK EXPERIENCE

- 2+ years of accounting and/or billing experience preferred
- Hospitality or private club experience preferred
- Experience with accounting systems


EDUCATION

High school diploma or equivalent required; associate or bachelor’s degree preferred.


PERFORMANCE STANDARDS

- Proficiency in Microsoft Office and Excel
- Strong communication skills
- Ability to meet deadlines
- Independent work capability


ATTENDANCE REQUIREMENTS

Regular attendance required. Additional hours as needed.
